Is your résumé PDF actually readable?

A PDF can look perfect and still yield missing, scrambled, or glued-together text when another program extracts it. Before sending one to an employer, spend a minute checking the text it contains. That check can catch a costly export mistake, though it cannot certify how a particular applicant tracking system will handle the file.

The one-minute check

  1. Open the exact PDF you intend to upload. Try selecting a sentence in the middle of the page. If you cannot select individual words, the page may be a flat image.
  2. Select all, copy, and paste into a plain-text editor such as Notepad. Check every page, not just the top.
  3. Read the pasted version from beginning to end. Look for your contact details, job titles, dates, section headings, and the last bullets of each role.

If a whole page is absent, dates attach to the wrong title, columns interleave, or words are replaced with odd symbols, fix the export before applying. A clean paste is a useful sign, but different readers and employer systems can still extract differently.

Why a good-looking file can fail this check

The page is an image

Some PDF tools render a screenshot of the page and save that picture inside a PDF wrapper. The letters look sharp to a person, yet there may be no selectable characters. Optical character recognition might recover some text later, but you should not rely on it for an application.

The reading order differs from the visual order

A sidebar, table, or two-column layout can cause extracted text to jump between sections. This is a possibility, not a rule: a well-made multi-column PDF may extract acceptably. Test the actual exported file rather than deciding from its appearance alone.

Characters and separators are lost

Wide letter spacing, custom bullets, decorative fonts, or fields positioned far apart can produce split words or joined values. The fix may be as small as changing the bullet character or using a simpler layout. Check names with accents and less common characters especially carefully.

What this test does not tell you

Applicant tracking systems differ. They may parse a résumé, store the uploaded file, let recruiters search it, or combine that information with answers to application questions. A plain-text paste does not predict ranking, recruiter decisions, or automated screening. It is a check for missing or disordered text, one problem you can control.

If an employer specifies PDF or Word, follow that instruction. If both are accepted, use a format whose extracted text you have tested. Never change a truthful résumé just to chase a supposed universal “ATS score.”

How this applies to Aptly

Aptly's 15-point ATS-readiness component checks patterns in résumé text: contact information, dates, familiar headings, and line length. It does not open your exported PDF in an employer's screening system. Treat the number as a structural hint, not a compatibility certificate.

Use Aptly's Print / Save PDF control and choose “Save as PDF” in the browser print dialog. Aptly now uses that text-based print route in place of its former image-based one-click download. The appearance and reading order can vary by theme and browser, so run the copy-and-paste check on every final export. For the most predictable layout, start with ATS-Plain and compare any visual theme you prefer.

Local scoring and editing stay in your browser. If you request AI feedback or a job match, the text needed for that request is sent for processing; the privacy page explains the difference.

Frequently asked

Does selectable text prove my résumé is ATS-compatible?

No. It shows that at least some text can be extracted by your PDF reader. Check all pages and reading order, and remember that the employer's software may behave differently.

Should I always use a single-column résumé?

A simpler layout is generally easier to inspect and less likely to scramble, but a multi-column design is not automatically broken. Test the final PDF you plan to submit.

What if my PDF has no selectable text?

Export again using a text-preserving PDF or browser Print / Save as PDF path. If the source itself is a scan, rebuild it from editable text or use reliable OCR and inspect the result.
